SUMMARY: The Vogel Group is looking for an Executive Assistant with 1-3 years of administrative or operations experience. The Executive Assistant will be responsible for directly supporting various principals by providing a a combination of high-level administrative and operational support.

KEY RESPONSIBILITIES

Administrative Support

  • Maintain day-to-day calendars; schedule meetings and ensure smooth operations including, informing attendees; logistics including conference room reservations/set-up; catering arrangements; and dealing with scheduling conflicts.
  • Prepare relevant briefing documents in advance of internal and external meetings.
  • Support external engagements – contribute to the planning process, scheduling, and coordinating across relevant staff members and clients.
  • Draft, edit, and prepare various documents including internal/external correspondence, creating and maintaining files, reviewing drafts and finished documents for accuracy and grammar.

Operations Support

  • Review the calendar and track outstanding projects, prioritizing and ensuring that all due preparation is completed.
  • Assist in planning travel arrangements and accommodations, including itinerary development, briefing materials, and coordination with members of the staff and client teams.

Event Planning

  • Coordinates all logistical arrangements for internal and external events, including reserving rooms, developing invitations, monitoring RSVPs, working with catering partners, arranging room set-up, and serving as the main point of contact for attendees.
  • Negotiate and facilitate contracts with event venues and hotels, when necessary.

EXPERIENCE:

  • A bachelor’s degree and 1-3 years of c-suite administrative office experience is required.
  • Self-starter and problem solver; ability to manage multiple projects with minimal supervision.
  • Proficient with Microsoft Office products, including Word, Excel, PowerPoint, and Zoom.
  • Must be highly resourceful and organized.
  • Strong communication skills (written and spoken), interpersonal, administrative, and time management skills.
  • Ability to multi-task and prioritize work to meet deadlines in a fast-paced environment.
  • Knowledge of or experience in government relations or on the Hill is a plus.
